Your tasks

1.0 Job Overview
This person primary responsibility is to be the in charge for Control Tower and SAP Invoicing Department. To ensure all new / revised bookings are requested and obtained from carriers as per instructions from customer without any delays to the shipments. In term of SAP Invoicing, the team is responsible for on time final invoice and packing list creation.
2.0 Job Responsibilities (duties / task)
  • Person in charge for Control Tower and SAP Invoicing team.
  • To lead, guide and monitor the job performance of the subordinate. Total 4 staffs will be under this person.
  • To ensure the Control Tower team to obtain all new / revised booking from carriers followed KPI set by the customer.
  • To ensure the SAP Invoicing team to communicate with all factories and warehouses on stuffing status and create Final Invoice and Packing List without any delay to other documentation process.
  • Prepare job tracker, operational review reports and statistics as required by the company and the customer.
  • To attend and participate in meeting with customers, shipping lines and management at request.
  • To prepare and present the monthly review performance updates to the customer.
  • Make bookings with designated shipping lines for new bookings, revised bookings, split bookings, rolled and cancelled bookings via agreed channels like Inttra, web or emails confirmation. This will be done at the request of customer. Occasionally, the request may also come from our own load plan and container movement team.
  • Maintain a complete record of bookings, revised, split and cancelled bookings for future reference.
  • To inform all relevant & concerned parties (both internal & external) or as per the established communication matrix, of the latest updates in the daily shipping bookings status.
  • To key in and update all bookings and job creations in the company's computer Tango system daily and timely as per KPI.
  • Verify, check and validate if all bookings are made in accordance to customer & shipping line allocation contract. To maintain close communication and to consult with customer if any issues arise.
  • To observe and adhere to the customer's required deadline & response time when performing daily jobs. This is to achieve the target KPI.
  • Prepare and open new job files with confirmed bookings and hand them to the customer service department in order to start the job handling process.
  • Resolve customer and work issues or problems within own level of authority and communicate or escalate with concerned parties or immediate superior.
  • Take the lead in implementing any ad hoc task / procedures agreed by the company for the customer.

Requirements

  • Diploma in Logistics and Supply Chain Management
  • Minimum two (3) year's work experience in forwarding / logistics industry.
  • Good communication skills, both writing and speaking in Bahasa Malaysia and English.
  • Knowledge in Microsoft Office tools (Word, Excel and PowerPoint).
  • Service oriented, good interpersonal and communication skills.
