What will you enjoy doing (duties/tasks)

•    Act as focal point on daily site facility issues

•    Oversee daily operation of front desk and switchboard areas to ensure all incoming and outgoing communications are handled quickly and efficiently

•    Build strategic sourcing network for corporate purchases to maintain site office inventory

•    Process, order and maintain site costs and expenditures to include but not limited to, office supplies, break room supplies, maintenance supplies, repairs and other site purchases

•    Oversee operation of office needs

•    Provide support to GM and office, as needed – processing of corporate travel for GM along with expense reporting process

•    Supervision of corporate shipping and receiving of office inventory belonging to local site location(s)

•    Receive visitors, vendors, assign security badges, keys security paperwork management, etc.

•    Coordinate office maintenance, property janitorial and maintenance staff including coordination with property management

•    Coordinate and maintain conference rooms, assure set up for conference room events, to include corresponding calendars

•    Mail (receiving all ingoing and outgoing mail, packages, UPS / FEDEX / courier shipping and receiving)

•    Oversee/supervision of maintenance and custodial staff at assigned site(s), to include training, assigning duties, evaluating performance, etc.

•    Kitchen/break room maintenance (order, receive, check and restock inventory, maintain coffee machines, water).

•    Facilitate vendor service invoicing for various sites by requesting purchase orders (POs) for services, receive vendor invoices and approve invoices for payment after verification process

•    Coordinate vendors and review/process purchase orders ensuring processing, accuracy and timely approval.

•    Coordinate efforts of resolving issues or provide services to selected field offices. Resolves problems and customer service inquiries within scope of authority; provide advice and assistance to external agencies.

•    Resolve all eProcure invoice reconciliations produced by purchase orders generated for assigned offices – reconciliations include invoice and PO corrections

•    Ensure purchase orders placed flow through eProcure system without any issues through the payment process. Assist accounting team, where necessary

•    Other projects as assigned


What you need to succeed (Qualifications, experience, skills, attributes)

•    This is a supervisory level position. 

•    Bachelor’s degree with 2-4 years of experience preferred or have High School diploma with relevant 5-6 years of experience in related field.

•    Must be organized with attention to detail and time management. 

•    Strong written and verbal communication skills to produce reports, assign tasks and handle vendor contracts, among other tasks.

•    Strong analytical skills, with problem solving. 

•    Strong interpersonal skills, with ability to deliver exceptional service through positive engagement and patience.

•    Leadership ability to manage challenges and oversee subordinates, while maintaining the ability to work in a team environment to continuously improve results.
